Exclamation Need Help with party plannin

hi all,
We had a summerparty all figured out and planned it was gonna be great...(the i was talikn bout) anyway we recieved a call today sayin that the place caught fire yesterday and so the promoter just bailed...
Look i know i'll get flamed for this but i tried the search button and noyhin came up what do i search under???

anywaya i got a dj... All else is missing
plz help asap

coming on an internet messageboard to learn how to promote and throw parties is a very bad idea
i've been watching your posts and it seems like you don't know the first thing about throwing an event yourself

i wish i could help you but seriously, this is something that takes years of being in the scene and learning what people want and how to give it to them

save yourself the headache and the financial loss

Ok I'm not a pro-event planner either. But I can atleast try and get things moving(usually with good results), so I'll throw you a bone(although it will probably be a waste of typing).

1. If you dont have a way to get ahold of equipment(decks, PAs, etc) or the extra cash to throw into this(or friends who'll help) then drop the idea now.

2. If you do, then start calling around and finding places that you can rent out(hole in the wall places will do at this point). Honestly it'll be hard to have someone host this shit on short notice, so you'll have to do it yourself.

You know what, if you cant do either of those then there's no point in me typing more. If you can secure the above then let me know. But then again if you could have done that then you wouldn't have posted...

ok, second thought, listen to everyone else, drop the gig, and plan better next time.

it wasn't my party it's jus the sponsers promoters every1 jus pulled out...
but the flyers were out with my name on it and i feelt sorry for all the ppl who worked their ass off...

There are some things to consider...

-1st. It is a good opportunity to get to know first-hand, as a promoter, how difficult setting up a party is.

-2nd. It is also a good opportunity to let the other people involved; artists(djs, musicians,decorators), sound people, electric and lights people, transportation, catering, flyer distributors, stalls/shops/bar, healing area, ritual and dance people, people on the doors, security, cleaning, the other ONE important-crucial role being the trusted CASHIER, sponsors, financing people, etc.

As I was saying... let those involved to know how brave and difficult can be to put together the energy to through out a party. This is an opportunity that may unite those ones related in it...Ok maybe you or just a couple of guys plan to do all those roles, but that doesnt mean that those jobs mentioned above are unnecessary; someone would had to do them anyway!!!

And this "getting together" can be accomplished(or not) by the kind of communication you have with them.
As a general rule PROMT and CLEAR communication is vital. Tell them what is happening even if you dont know what the outcome will be.
A very carefull(and caring) email you write to them will do in most cases. At others a phone call or visit will be necessary.
Pbbly they already know something, telling them oficially gives you the confidence to speak up at dificult moments and eases the regular contacts.


If you cannot find a fair alternative location you may also need to email and publicize a heartfel letter/email to those been reached, explaining what happenend and how this valuable energy that almost got together will be attentive to spot the next appropriate moment to really gel and materialise the party all dream with.


Your help-question is actually a very good one(though it doesnt need to be posted so late or under such difficult circumstances. I have heard it several times, enough for us to even get a good type-answer written that is somewhere. One important part of the answer is timming and you seem to have run out of it... Other part is plan Bs and how to react with the flow, or cover for mistakes,etc.
But there is much more to it. I can advance here we say: "organizing parties is like baking a big fat cake". It has many layers and usually if you get one layer wrong the whole thing fails...like you do everything Ok but the promotion is wrong...nobody will go, or if the location is wrong, or the price,etc. Not a matter to think of now...

If I would be you, I would be thankfull that the energy is seeded spreaded and that a strong, unavoidable external factor(a fire at the location) gives us the chance to see the other side of many of the people and energy involved... be very attentive and try to listen to everyone's reaction and you may learn quite a lot...


And lastly you might not agree with me, but I believe that more important than WHAT party you are able to set up, is HOW you set that up. In other words, more important than the Piramids or the Cathedrals that are built is HOW those were built and the effect that construction imprinted into the people involved... but that is just a personal view...
