Advice on Organising a Night

Hey

I just wondering if anyone has any advice on organising a night?

Most of the clubs here just play Ministry of Sound house and i think people are getting pretty sick of it so im gonna have a try of organising my own.

I have a venue in mind with a bar, toilets, dancefloor, pool tables and a little courtyard which i think will be perfect. Also there not open on saturday nights.

So apart from opening and close times, max capacity, dj's, promotion, equipment and cost is there anything else i should keep in mind?

Bear in mind it's VERY hard work. You'll need quite a large budget to have any chance of success. I've been involved in running various nights, not directly in charge but helping with promotion, planning etc and I've seen in a lot of detail how things have been run, both successfully and unsuccessfully, so I think I could probably offer some good ideas of things to think about.

the most important thing is venue first.

if you have a venue, THEN start thinking about equipment, djs, decor, etc. if you are just "thinking" about a venue, you are not really throwing a party, just flapping your lips.

I have a night coming up on Friday, very simple small club about 125 packed to the brim

club takes drinks, we take door-

$3 entry, we arent doing it to make cash this time, weve only had a week to promote it. luckily we all know a lof of people

i suggest calling the bar, and set up a meeting with the owner/manager. most will def hear you out.

doing a night, especially a weekly is a full time job

make sure you're ready for the commitment it takes

you get lazy and your night fails, period

a few MWTAs and I have been organizing bi-weekly events in the milwaukee area for the last couple of months with relative success. you definitely need a willing venue first, then worry about everything else. thankfully we have club owners that are willing to let us experiment and a roster of willing/talented djs that don't expect much pay, so things always work out smoothly. and as for cost, we've pulled off all of the events at $0 expense. actually this coming saturday is different because we printed off flyers, but meh

my only advice is to be honest with the owner about what your expectations are and come to a conclusion/mutual agreement about payment, drinks, set times, etc. a weekly is probably too much if you're only in the "contemplating" stage. we're doing it bi-weekly and that in itself is headache enough..

This is exactly the sorta thing i was thinking of doing
$3 entry seems very reasonable too.

no way it would be a weekly thing right away i just wanna get some flyers up, run the night and see how many turn up and the reaction of the crowd. Maybe even get a mailing list on the night.

i totally understand its hard work and my expectations are very low

in regards to liquir license they are licensed every night of the week. They usually run 21st's and stuff like that there with the bar.

in australia, you have a better chance at running a decent night as the music is more accepted

flyer your ass off hire people who'll help you flyer for guestlist and maybe +1

usually with smaller venues it's club=bar, you=door

here for our saturday night, we're doing $5 cover and it's still the cheapest club cover you'll find for good talent and good people

there's free spots, but it's worth the cover

i'm only doing a monthly though with 3 other crews taking the other weeks

done the weekly thing, not going to do it again as the promoter
