i've quickly skimmed the topic because there is so much so forgive me if i have missed anything.
just a few bits of advice for the guys organising this event.
printing usually takes 4 working days + delivery. so if you get your artwork to the printers and signed off for about 10am on monday you will get your flyers by friday.
for your first event it is the norm to PR round about bars and at any big related club nights for 4 weeks before the event. Your PR schedule should look something like this:

The first weekend can be missed out depending on the size of the city.
You will need 2 people to go round the bars handing out flyers on these nights.
It may also be an idea to hand out 2-4-1/half price and/or free passes to lure people in or something like offering half price entry before midnight (im assuming its open 11-3).
the time to give out passes is on the night and if anyopne seems really keen to come, the weekend before.
it also helps to go round shope asking if you can put flyers on the counter: mostly clothes and shoe shops. you will have probably seen other people flyers in places: go there. put flyers in local record shops too.
If you havent already chosen a printer then start getting some quotes NOW!
Most printers will accept the artwork in Photoshop, Illustrator, TIFF and JPEG format. Resolution should be 300 dpi and it should be in CMYK format.
GET A VENUE CONFIRMED NOW, its getting rather late to secure one.
Get the DJ's confirmed then you can start thinking about the running order.
The design for the flyers can get done now and add the names in later.
and probably most importantly: who are the backers for this venture? (ie whos stumping up the cash)
is this a one-off or is it going to be a monthly thing?
what is the capacity of the venue? do you think you can fill it: be realistic and very pessimistic about numbers. this is a new night and unless you are booking 'named' DJs noone will know the people on the bill - it will take a lot to drag them in.
just a few points for consideration. im not trying to put you guys down at all, just making sure you are aware of what needs to be done so that the nights not going to be a flop before its even started. |
